Board of Directors Meeting
January 20, 2020

The meeting was called to order at 6:30PM at the residence of Josh Gibson, Unit N-153.  Attending were:  Michael Niksa, President; Josh Gibson, Treasurer; Jerimiah Willhite, Special Projects; Van Chesnutt, Landscape; Linda O’Hara, Secretary; and Tim Hollingshead, Morris Management. 

Homeowners’ Forum — No homeowners, so we proceeded to regular business.

Treasurer’s Report

Josh and Tim discussed ongoing delays in financial reporting.  Due to the change of banking relationship through Morris Management, financials for November and December are delayed. Previously, a software transition delayed September and October. Morris is not real pleased with this situation, nor is Josh.  Morris is taking steps to remedy as soon as possible and has hired an outside consultant to bring everything over.  Tim has received a preliminary report on his desk this evening, with a final expected in 24-48 hours.  Completion of November and December is expected by January 31st.

In the absence of comprehensive financial statements, Josh has been keeping an eye on individual bills and items coming in for payment.  Josh says from the end of October, the irrigation repairs is the only item over budget.  We look forward to having this entire situation resolved soon. Update:  As of this writing, October – December statements have been received.

Landscape Report

  • Water encroachment – Bldg M — Just before Christmas, Van’s basement flooded in Unit #M-147.  Due to storms and the holidays, Van could not get anyone to come out.  In January Bodine came out and sealed the cement perimeter to keep out the water.  After freezing temperatures have passed, Bodine will come out again and clean out more foundation drains around building M – which we think are be blocked with tree roots again. Since then it has not rained that much, so no water has come in.  The bill will probably be several thousand dollars.
  • Snow removal – After last winter’s unusually heavy snows, this year we retained a snow removal company to keep our driveways and access roads clear.  They will come out any time there is 2” of snow or more.   After the January 2020 snow, they did come out, cleared the main driveway, plowed out everyone’s little driveway and shoveled all the walks.  They did it, late at night, but they did it.  Unfortunately, it snowed more later that night. 

Buildings and Maintenance

  • Bldg B Foundation –  Improcon is monitoring the building stability on an ongoing basis.  Sent report to Morris Management and the board, reflecting no significant movement.  This is very good news.  Monitoring will continue.
  • Bldg C Windows – Replacement of window panes with failing seals is complete.
  • Bldg G Tyco Fire Alarm Work –  Additional heat detectors needed to be installed at owner expense in a unit following interior remodeling. Work is complete; Tim is waiting for the final bill from Tyco so that it can be billed to the owners.
  • Bldg E Soffit Water Leak – Work is ongoing to identify the cause of water leaks in Bldg E.  We are working with two consulting engineers, Jim Riley from Certa and Jehan Bharucha from Improcon. 
    • One suspect was loss of granules on the roofing shingles.  Improcon was  concerned winter maintenance might be the cause of shingles losing granules.  However, on observation of Handyman Gene’s work, this is ruled out as only a blower was used, not a pressure washer. 
    • Consulting Engineer Jim Riley wants to work up two reports: one about windows, one about air flow above the vaulted ceiling.  Jim said the skylights could be blocking air flow causing moisture buildup.  Also wants to open trim around a window to check for conditions that could contribute to moisture.
    • We are also having trouble contacting the roofer who did the installation.  Labor warranty on the roof is 10 years; manufacturing materials warranty is supposed to be 30 years.  Jehan is getting paid to track this down. 
  • Bldg F Dishwasher Leak Water Damage –  Board decided at a previous meeting to file an insurance claim.  Construction company has been retained.  Tim has only received an estimate for the top floor, not yet for the bottom floor.  Tim spoke with the insurance adjuster again yesterday.  This is very typical for an insurance claim. 

Next Meeting

The next meeting is the Annual Meeting of Homeowners.  All owners are invited to attend, talk with the board, and receive updates on financials and key projects. This annual meeting takes places in the conference room at Morris Management, Bellevue.
