Board of Directors Meeting
June 20, 2022

The Marymoor Trails Board of Directors meeting convened on Monday, June 20, 2022 at 6PM via Zoom. Attending: Michael Niksa, President; Josh Gibson, Treasurer; Van Chesnutt, Landscape; Linda O’Hara, Secretary; and Tim Hollingshead, Morris Management. Also participating: Jehan Bharucha, Project Manager – Improcon.

Homeowners’ Forum

  • Marymoor Trails will have our first Community Garage Sale the last weekend of July 29-30-31, either Friday-Saturday or Saturday-Sunday. Further information and event details to come.
  • Homeowners from Bldg. I called in to listen to the board discussion.

Buildings Update

  • Jehan Bharucha, Project Manager from Improcon, gave the Board an update on the Building B and roofing situations. 
  • BUILDING B — Jehan and the consulting engineer met with the owner of Unit B-108 and had a good chat about expectations. The interior portion of the work includes the basement floor, interior finishes, and touchup on an outside deck. 
  • Jehan presented a revised plan that will save a substantial amount of money by not having to replace deck posts in Bldg. B as originally anticipated.  Under the original plan, the posts supporting the decks would get in the way of the pin piling. Jehan consulted with structural engineering. They developed a plan to leave the posts in the current configuration and offset the pin piling, modifying the footing and leaving the decks as is. (If decks are rebuilt, they must be done to current code, and materials are very expensive. If we can leave the decks in place, we can save quite a bit of money.)
  • Jehan is now waiting for engineering to come back with a detailed design and cost estimate. Current plan calls for pin piling portions of sides of the building  and entire north facing side of Bldg. B.
  • Jehan also consulted with a trusted contractor with whom he has worked before regarding doing detailed injection work. He will take a look at the Unit B-108 for slab injection. Slab injection will help stabilize the foundation but it will not address future settlement if it occurs. However, the same process can be done again in future years, if there is more noticeable settlement.
  • Van asked three key questions of Jehan:
    • Is there anything Jehan needs the Board to do right now?
    • How are we set for permits with the City of Redmond?
    • When do you estimate we could start work?
  • Permits – until we have the design in hand we cannot submit revised plans to the city for revision. We hope to have revised plans in hand this week. Review by City of Redmond is estimated to take a couple of months.  The fact that we have simplified the internal piling considerably could help speed the permit process.
  • The project itself could take 4-5 months in this market and that would be doing really well, but it could stretch out and costs could increase.
  • It is possible that the entire project could be completed by the end of 2022, but that depends how quickly permits come in. The City of Redmond may force us to stop work around the end of October due to it being an environmentally sensitive area. The sooner we can do it the better off we are, and we get more done before the City makes us stop.
  • ROOFING – The roofer who is taking the lead on our project is going to the City of Redmond this week to update permits. Once the project is started, it should take about 3 weeks, not longer than a month.
  • We have to wait for dry weather to do this roofing project. We could not have started earlier due to very wet May and June. We have to tear out roofing, sheathing, insulation, leaving everything exposed. City of Redmond will ask for a review of the insulation before it is closed up, and they will want to inspect the sheathing before it is closed up.

Treasurer’s Report

  • Josh reports concerns regarding our current funds; our administrative line was 8% over budget because of the massive insurance payment; and there were many expenses coming out of the replacement fund. We will plan finances in detail at the next meeting.

Landscape Report

  • Michael has been investigating WiFi controllers for sprinklers. New systems monitor rainfall, incorporate weather forecasts, and provide snapshots of landscape sections revealing the need for any watering adjustments. You can adjust watering by zones, and the system does the calculations for you. Automatically doesn’t water when it’s raining or freezing.
  • Michael evaluated two systems and discussed them with the Board. The Board approved Hunter systems, which is an established company and our landscapers are familiar with it, at a cost of under $1000 for the components we need. The Hunter system can connect to backyard weather stations. A resident offered to help Michael get connected to WiFi in the needed areas.
  • BOD motioned and approved Michael to get two (2) Hunter controllers, get connected with WiFi, and get them installed.

Maintenance Update

  • Michael walked around with Gene the Handyman’s son Alex and reviewed a very complete list of all maintenance projects needed. They will work through the list this summer.  We will not fix decks on Bldg. B as part of this work, as they will be worked on within the scope of Bldg. B engineering work. We will replace 4-5 decks with Trex this year; there are no big elastomeric problems.

Management Report

  • Repairs on the fire damage in Bldg. J are temporarily on hold pending permits from City of Redmond for the next stage of work.
