Board of Directors Meeting
October 21, 2019

The Marymoor Trails Board of Directors meeting convened at 10:00AM at the residence of Josh Gibson, Unit #N-153.    Attending:  Michael Niksa, President; Jerimiah Willhite, Special Projects; Van Chesnutt, Landscape; Josh Gibson, Treasurer; Linda O’Hara, Secretary; and Tim Hollingshead, Morris Management.

Budget Ratification

The first order of business was formal ratification of the proposed budget for 2020.  Budget Ratification special session was called to order.  No homeowners had contacted Tim or appeared in person to dispute the proposed budget.  According to Washington State law, in the absence of 51% negative votes, the budget is automatically approved.  The 2020 Budget reflects a 2.0% increase, in line with inflation.

Homeowners’ Forum

We addressed several homeowner issues that had been brought to Tim’s attention, although no homeowners appeared in person at the meeting.  A homeowner contacted Tim to complain about a bush that had been removed by Puget Sound Energy.  Although this is unfortunate, and we regret the shrub removal, Tim explained that PSE has an easement and basically can do whatever they want.  It will not be replaced.

A homeowner contacted Tim to request that the Board meetings be moved to an evening slot.  Tim explained to homeowner that we do not have an abundance of volunteers.  Right now, we are pivoting around Board members’ work and academic schedules.  At this time, Monday mornings are the only slot that works for everyone.  However, the Board would like to return to evening meetings as soon as possible.  The Board will review schedules quarterly and if we can return to evening meetings, even for a few months, we will do that.  In the meantime, if a homeowner has an issue to discuss in person, please contact Tim.

Treasurer’s Report

During the transition of banking, there is a delay in September and October financials.  Josh says there have been no major expenses, so all financials are in good shape.

Buildings

  • Deck Repair and Replacement — Our deck repair and replacement project has been delayed.  We were going to have 6-8 wood decks replaced with Trex and do spot repairs with cedar planking on many decks this summer — it is now fall.  Handyman Gene ordered decking and the wrong decking arrived.  It has been re-ordered.  In the next months, as weather allows, deck repair and replacement will be done.  Much of the work cannot be done when it is soggy and paint won’t dry.
  • Signage – New directional signs and reflective individual unit numbers have been completed by the vendor and delivered to the Board.  When Gene is in the area for decking, he will contact Jerimiah and arrange for installation.
  • Building B Engineering Report – Consulting engineer Jehan Bharucha of Improcon performed detailed measurements of Bldg B, focusing on Unit B-108.  This 6-month milestone survey did show a very small change, but within the margin of error.  The plan is continued monitoring and reporting to the Board.
  • Windows Replacement — The Rose Hill Glass requested Board approval for $2,000 for multiple pane replacements.  This covers original builder-installed windows that have broken seals and have become foggy.  Rose Hill is typically conservative about what they say needs to be replaced.  Approved by the Board.

Landscape

  • Tree Trimming — Van had the tree trimmers out here, and they did an excellent job.  The areas of focus were two large dead limbs near Bldgs M and H.  As part of their work, they climbed up in the trees to clear out lots of deadwood.  Total: $847
  • Sprinklers – Van is overseeing winterizing of our sprinkler system.  In September Van had Phase 4 of the sprinklers done. 
  • Reduced Mowing — The landscape people are down to every other week through October.  Van has called them for spot mowing as needed.  Nothing has gotten excessively long.  That is all that is going to be done for landscaping this year. 
  • Drainage Bldg L – A major project focus for next year will be drainage work on Bldg. L.  There is still work to be done there, even though this year’s work on I-J addressed some of that.

Next Meeting

Our next meeting is on Monday November 18 at 10:00-11:30AM at the residence of Van Chesnutt #M-147.  This will be our last meeting of calendar year 2019.  After the holidays, we will reconvene in January 2020.
