Board of Directors Meeting
March 21, 2022

The Marymoor Trails Board of Directors was called to order at 6:00PM via Zoom.  Attending: Michael Niksa, President; Josh Gibson, Treasurer; Van Chesnutt, Landscape; Linda O’Hara, Secretary; and Tim Hollingshead, Morris Management.

Homeowners’ Forum

No homeowners called in, so we proceeded to regular business.

Treasurer’s Report

Josh reviewed the January and February financials and cited what appeared to be a discrepancy in the accounting for Fire and Safety Monitoring.  After review and discussion, Josh agreed to the budget as reflected by Morris. Operating account (checking) is approximately $21,000. Replacement fund (savings) approximately $438,000.

Building B Update

Tim says there was a proposal in our monthly board packet that we need Jehan to help us understand and address complexities better. Unfortunately, Jehan is traveling overseas and unable to participate in tonight’s meeting. We will hold off on this discussion. The board found in quite interesting that the last Building B inspection showed an INCREASE in elevation, which does not make sense. Jehan has asked that the surveyors come out a second time. This does not inspire confidence in the survey results, as we are looking at spending a great deal of money based on those results.

Jehan would like to have a second independent surveyor come out and perform a second survey. Michael made a motion, and the board seconded, moving forward with a second independent survey. We will get a full complete report from Jehan at our next meeting. If it shows there is no movement, we may very well proceed with doing the minimum work necessary to rectify the situation which would be work on the interior of B-108.

Maintenance Report

  • Michael will have Gene the Handyman address roofs – clean roofs, remove moss, apply moss-killing powder, blow off leaves and debris.
  • Van will talk to the landscapers and see if they can pressure clean the  moss that has accumulated in front of the garages of some of the units.
  • Michael will call Scott at Casa Bonita for a seasonal painting quote and estimate.
  • Board has approved moving forward with Ezra for roofing repairs and replacement.

Landscape Report

  • Van was expecting drain related work to be done by Bodine earlier this month, but it has not happened. Lines were painted outside Bldgs. L, M indicating work to be done on drainage under the asphalt, but nothing has been done yet.  Van will follow up with the contractors.
  • Michael and Van will address timers on the sprinklers in a couple of months.

Management Report

  • The recent fire that caused damage to Unit J-135 and some damage to Unit J-136 was quite significant. Morris Management has assigned Ryan Truitt from their staff to work as the project manager. He will keep Tim Hollingshead apprised of progress several times a week. The fee for this work will be a percentage of the project cost, 3.5%, vs. standard of 7%. There are also other issues with the fire alarm system in the building that are not related to the fire, and Ryan will be working on those as well. Two insurance investigators are researching the cause of the fire. One investigator represents the master policy on behalf of the homeowner’s association, and one investigator represents the homeowner’s individual policy.
  • The Bldg. J fire damage estimate is roughly $365,000 for Unit J-135. No estimate yet for Unit J-136. The homeowners’ association policy has $10,000 deductible. We have received $365,000 in a special earmarked account for Unit J-135, not included in regular operating and reserve accounts. Tim is keeping track of expenses to date.
  • There have been big delays in addressing the fire damage to Unit J-136. There is a renter in that unit; the homeowner lives overseas with a 12-16 hour time difference.  The board discussed the possibility of requiring overseas landlords to have a local property manager to handle situations as they arise. In Unit J-136, there was confusion between the owners and the renter as to who was responsible to take the first step. Tim thinks it’s moving now.
  • Last Thursday, mid-day, all the fire alarms went off for Bldg. M. They turned off after several minutes. This caused alarm to several residents. TYCO has been working on this, and they set the alarms off without notifying the residents in advance.
  • Tim needs a board member to sign the association tax returns. Linda will drive by and sign the tax return on behalf of the board.

Next Meeting

Our next meeting is scheduled for Monday April 11, 2022, at 6PM via Zoom. Jehan Bharucha will attend. Michael  Niksa will not be here but approves the meeting to take place without him.
