Board of Directors Meeting
June 26, 2023

The Marymoor Trails Annual Meeting of Homeowners convened at 6:00PM on Monday June 26, 2023 via Zoom. Attending: Michael Niksa, President; Van Chesnutt, Landscape; Linda O’Hara, Secretary; Tim Hollingshead, Morris Management. Not attending: Chris Cho, Buildings; Josh Gibson, Treasurer.
Guest:  Jehan Bharucha, Project Manager from Improcon.

Homeowners Forum

A homeowner from Bldg. H is curious about when the summer maintenance punch list will start. There are a few items on his list, hoping they will get done before summer is done.  Michael briefed everyone on summer maintenance. The items for Bldg. H are still on the repair list. Gene the Handyman has just returned from Ukraine and is taking a little time to rest. Michael will meet with Gene July 6 for a walk-around to build a punch list for the entire property. We have looked at engaging other handymen, but Gene’s rate is low and his work is good, we are waiting for him to return. We are glad to support him.

Resident question:  Why are HOA dues so expensive? We don’t have a pool or a clubhouse. It’s rather high, even with special assessment. Is there a future goal of lowering it in the future? Michael explained that recent increases are insurance, and City of Redmond dragging out repairs on Bldg. J. It’s a long open claim, and this has caused our insurance to skyrocket from what it used to be. This is the fault of the City of Redmond and insurance adjusters.

Tim offered to go through the budget with the resident at the end of the meeting, to explain everything. When insurance closes, we hope there will be a better rate.

Building B Report – Jehan Bharucha

We started the meeting with a special report on Bldg. B by Project Manager Jehan Bharucha of Improcon. Jehan is delighted to report that after 3-1/2 years of holding and waiting, all permits are in hand for work on Bldg. B and we are ready to go. When we have all contractors on board, Jehan will call a pre-construction meeting with City of Redmond.  Everything will roll on an established schedule.

Jehan provided details about the work to be done. He reports we are saving $2500 on slab-jacking by using a process that incorporates polyurethane foam into the material to be injected under the foundation for support and stabilization. This new material will spread more easily and requires far fewer holes to be drilled in the foundation for injection, by a factor of 50%. We will keep the homeowners’ community informed of progress as details become available.

Treasurer’s Report

In Josh’s absence, Tim provided a summary financial report. May 2023 month-end balances were as follows:

  • The month ended with a net Operating Account (checking) balance of $42,957.49
  • The month ended with a net Replacement Fund Account (savings) balance of $527,868.09
  •  Special Assessment funds on hand: $662,918.47. As a note, we have spent some of the special assessment already. This reflects less than the full amount collected, as items are being funded and the balance is gradually coming down month after month.
  • Receivables on special assessment: Tim is sending out a reminder to all outstanding receivables.


Landscape Report – Van Chesnutt

  • Van reports sprinklers are back on. We recently paid Premiere more than $2000 for needed sprinkler repairs and maintenance to start the season.
  • Van is in contact with Bodine. On September 20, Bodine will do foundation drain clearing in several areas. Estimated total cost $1200 – $1500.
  • Michael reports Hydrawise is working great. This is an app Josh and Michael access on their phones to monitor dry and wet areas. The app will automatically increase water on hot days, turn off sprinklers when not needed due to rain, saving the HOA on our water bill.
  • Michael used Hydrawise to stop a sprinkler that exploded near one unit, causing a fountain late at night. He turned it off remotely with his phone, and repairs were sorted in the next day.

Building J Report – Tim Hollingshead

Tim provided an update on repairs following fire damage to Bldg. J. Repairs are moving along well on both inside and outside construction. Easily visible is new roofing, exterior siding and window replacement, while work continues on the interior.

Old Business

Tim wanted to go over a proposal for glass replacement in Bldg. F. Typically we have Rose Hill Glass address all necessary replacements, and they have done an excellent job at a good price. Rose Hill says this window in Bldg. F is too big for them to do, and recommended that the owner go to Henry Glass. The bid from Henry Glass is extremely high, and we are being told this is because it takes four people to handle these two panes of glass. Tim thinks the bid is too high. The Board will follow up with the owner of the unit to reconfirm what is being replaced in what manner. This work order is for glass only, not frame. The Board will ask the owner to come up with a couple of other bids, and Tim will clarify with Rose Hill Glass and ask if it is more economical to have the two windows completely replaced.

New Business

A previously rented unit, M-150, is now sold but has not yet closed. It is expected that the unit will be owner-occupied. Another unit that had been on the rental waitlist, H-130, accepted the opportunity to become a rental. As a note, Marymoor Trails keeps a strict rental limit of 15%.

This is on the best guidance from banks and property management professionals, to retain high value for our property. Anyone wishing to rent out their unit must work with Tim and put their name on a waiting list. It typically takes several years for an opportunity to come up. If an opportunity comes up and you pass on it, you go down to the bottom of the list.  Everyone gets a fair chance.
