Board of Directors Meeting
September 11, 2023

The Marymoor Trails Board of Directors Meeting was called to order on September 11, 2023 at 6:00PM via Zoom. Attending: Michael Niksa, President; Josh Gibson, Treasurer; Van Chesnutt, Landscape; Chris Cho, Buildings; Linda O’Hara, Secretary; and Tim Hollingshead, Morris Management. Guest: Jehan Bharucha, consulting project manager from Improcon.

Homeowners’ Forum

Several homeowners listened in to stay informed of association issues. One owner from Bldg. B participated in detailed discussion on that building (covered below).

Treasurer’s Report

Tim does not have August financials yet to release to Josh due to delays on Morris’ end in the software transition. Josh is monitoring the situation closely and will provide an updated report next month. Josh noted a couple of accounting irregularities regarding insurance in July that Josh and Tim reviewed and resolved during the meeting. Things are back to where they should be.

Buildings Report

Work is proceeding well on Bldg. B foundation work. We received an update from Jehan Bharucha, consulting project manager from Improcon.  Dave Webber, owner of Unit B-108 attended to listen and provide information.

Pin Piling

  • Pin piling around Bldg. B foundation and footings is approaching 50% completion.
  • Every step of pin piling by the contractor is overseen by a soils engineer. Work does not proceed to the next step until the soils engineer is satisfied.
  • Whatever is touched is done to completion before moving to the next step. They cannot dig two holes at the same time — must dig a hole, fully pin pile “to refusal” (hits solid rock and can go no further), fill it in, bolt it to the foundation, and then start the next hole.
  • We can continue outside work until late October, per City of Redmond. After that, wet weather increases runoff, bank erosion, environmental damage and the City will not allow it.
  • We need to re-route an unusually large storm drain which touches the foundation of Unit B-108. It is designed to take rain/storm water from B and C buildings. The engineering company has designed a re-route plan, like a heart bypass, to reroute water safely to existing storm drain systems. This will allow foundation work to proceed.  Again, come end of October, the City might stop us from excavating on the steep slope. If not done by end of October, we will have to stop and resume in April or May next year.
  • An air conditioner outside Unit B-108 will need to be moved to allow foundation work in that area and re-installed. Jehan has been in touch with Bel-Red Heating and will work with the owner. Owner is not concerned about the AC unit being out of use for 10 days, hot weather is gone.
  • Work inside Bldg. B can be done during wet months. Jehan will work with owner of Unit B-108 to schedule work to be done on the inside of the unit.

Skylights

Two units reported skylight issues.

  • Owner of unit in Bldg. K has what appears to be a defective skylight. Gene the Handyman looked at it and said the window needs to be replaced. Owner also heard back from his handyman that the skylight needs to be replaced if it cannot be fixed. Home inspection on unit in Bldg. K said seal on the skylight was broken, causing gas to escape, resulting in slight cloudiness.
  • Owner of unit in Bldg. B has debris falling into master bath from skylight. This skylight has a manual crank to open and was installed by the owner at the same time new roofs were installed approximately 12 years ago. This was an option for owners at that time. A gasket problem is the primary suspect — the skylight has a little frame, and if not installed well in the first place, needles get in. Owner says it doesn’t leak. When the skylight was opened, the weather stripping was coming off. The crank works fine. Jehan has the same skylight at his house, says when cranked down tight, the weather-stripping bonds and pulls up. Jehan has learned to ignore it since it doesn’t leak. The repair is to reattach/replace the weather stripping.
  • Jehan says the issue for both of these repairs will be getting a roofing professional to come out for two small jobs, even though we installed roof top anchors for safety. Contractors are in such high demand they will not bid on a job, much less come out, if it is less than $10,000 – $30,000 job. We will see what we can do to address both of these issues.

Maintenance

  • One deck that was being replaced with Trex was in much worse condition than expected and needed  more work than anticipated.
  • Homeowner in Bldg. N reports a big pile of removed wood has been left under their deck by Gene and his crew. Van says the same thing happened to him and it all disappeared one day. Michael spoke to Gene during the meeting — Gene confirmed he forgot about it. Will remove it ASAP.
  • Michael explained how difficult it is to get anyone in 3 counties to come out and do a job; if the job is less than $10K they will not come out.
  • Patio privacy fences between units in Bldg. I were looked at by Gene’s crew, but not replaced as scheduled. Michael was under the impression these would all be replaced this year. He will talk to Gene.
  • Michael is having a lot of difficulty trying to get Johnson Controls (TYCO) out here to oversee replacement of rotted siding under the fire panels. City of Redmond REQUIRES Johnson Controls to be here to oversee Gene’s work. They stubbornly refuse, saying they have laid off workers and cannot be here. We are at an impasse, with Gene and his crew unable to replace rotted siding under fire panels.

Landscape Update

Tree fertilization is complete. In mid-late September, Bodine Construction is going to come out and do a thorough cleaning of foundation drains near Bldgs. L, M and N. This work will not impact residents. Important for drainage work to be done before the rainy season begins. Normal landscape maintenance is proceeding on schedule, nothing new.  Lawns looking nice and green after sprinkler adjustments.

Fire Alarm Testing

There will be a mandatory in-unit fire alarm inspection and testing week of September 18. This is required by City of Redmond. Complete information and a schedule of testing for all units has been sent by Morris Management to all homeowners.

Next Meeting

Our next meeting is Monday October 23, 2023 at 6:00PM via Zoom.  November meeting is rescheduled to Monday November 20, 2023, due to board member availability. This will probably be our 2024 Budget Ratification meeting. This will be discussed further at the October meeting, and notice provided to all homeowners.
